Phone System Buying Checklist

Here is a checklist for purchasing a new or used phone system. Use this checklist to help communicate with a phone system dealer.

1.) Number of phones needed?

2.) Number of lines? (dial tones) This includes voice channels on a T-1.

3.) Do you currently have a T-1? (if you are not sure, make a note to ask your dealer about it.)

4.) Do you need voice mail? And what about automated attendant?

5.) Do you intend to answer your calls live or do you need an automated attendant? Note: Most businesses should use an auto attendant for after-hours call handling at at a minimum.

6.) Do you need wireless phones? Note: Generally it is not a good idea to go with very many wireless phones. They tend to get lost, dropped, accidentally taken home by staff, and don’t have enough buttons to do things quickly and easily. However some staff may need one. It depends on the application.

7.) When will you need the system installed? Will you be changing you phone service and need those lines in place before or at the time of a new phones system installation?

8.) Do you have remote workers or telecommuters for whom you need to provide service?

9.) Is your business growing? Where will you be in 1 year? In three years? Will you need a system that grows with your business?

10.) Will you need wiring for the system or do you have existing wiring in your building? If you are not sure just ask a dealer to have someone take a look for you. In many cases there will not be a cost involved for this initial review of your cable infrastructure.

Those are the basic questions. By going into detail with your phone system provider you will be able to help them figure out your current and future needs so that you get the best phone system to serve your business for years to come.
